Clinical Operations Supervisor
Job Summary:
The Clinical Operations Supervisor is responsible for planning and coordinating the daily activities of the clinical staff, ensuring proper coverage in all areas. They will ensure the clinic’s compliance with OSHA, HIPAA, MIPS, and Infection Control standards by all clinical staff members. They will hire, train, and manage all non-provider clinical staff, including following all established disciplinary action protocols (e.g., write ups, terminations), when necessary.
To be successful in this position, the Clinical Operations Supervisor will apply management and organizational theories to supervise clinical employees. They will stay current with clinical practices and be able to identify problems and recommend resolutions. The successful Clinical Operations Supervisor will be a collaborator and respectful of their supervisor and co-workers. They will exhibit values of integrity, innovation, and compassion. They will need to show judgement and critical thinking regarding tough decisions, especially regarding compliance, customer service, patient welfare, and company interests, and take responsibility for those decisions.
Essential Duties & Responsibilities:
As assigned, but not limited to the following:
- Direct and supervise clinical services in accordance with regulatory and facility standards, including enforcing personnel policies as stated in the handbook.
- Coordinate medical staff schedules so that physicians always have adequate coverage.
- Work closely with practice administrator to ensure coordination of clinical and administrative duties, including cross-training when needed.
- Must be knowledgeable and able to function in a clinical and EMR capacity to service a clinic and teach new recruits.
- Help cover clinics when there is insufficient staff.
- Maintain office hours that are consistent with physicians’ clinic schedules.
- Develop and implement department goals, policies, procedures, budget, and work standards.
- Quarterly clinical pod meetings to review and share wins, needs, and improvements.
- Compile, analyze, prepare, and present statistical information on department performance, productivity, activity, and budget to administration.
- Develop and maintain department quality assurance.
- Understanding and knowledge of statistical methods, e.g., Lean Six Sigma, TQM methods, PDSA projects.
- Select, orient, train, and evaluate staff.
- Prioritize training by creating a vigorous training plan and personally participating in the training.
- Demonstrate commitment to clinical documentation excellence and quality, along with the ability to educate and inspire others.
- Participate in the development and delivery of educational programs to the staff.
- Maintain properly operating medical equipment and instruments, and coordinate repairs and replacements.
- Ensure clinic’s compliance with CLIA, OSHA, and HIPAA regulations with policies, procedures, and control log maintenance.
- Ensure clinic’s compliance with all aspects of MIPS, ensuring successful transmission at year’s end.
- Works collaboratively with providers, building strong, trusting, and respectful relationships.
- Knowledge and comfort level working with technology and multiple support systems and tools.
- Stay current with all Modernizing Medicine electronic health record (EMA) upgrades, including expansion of interfaces, and training staff as needed.
- Maintain knowledge of trends and developments in the fields of dermatology and clinical management by reading appropriate articles, journals, and related material and by attending seminars, conferences, and educational programs.
- Maintain and update clinical manual, training staff on any additions.
- Monitor samples, medicine supplies.
- Maintain medical supply inventories in a cost-efficient manner. Reasonably maintain relationships with key vendors, while keeping mindful of practice interests.
- Keep the Practice Administrator informed of any issues affecting practice operations.
Supervisory Responsibilities:
- Supervises clinical staff employees.
- Qualifications:
- Education: BSN from accredited school of nursing preferred, or
- Certified MA with experience below, must be Derm.
- Experience: Minimum of five years’ clinical leadership experience in a medical office
- Dermatology clinical work experience preferred.
- Skills: Strong leadership and management skills necessary to direct and assign work to subordinates.
- Outstanding presentation, writing and verbal communication skills, including grammar and spelling skills.
- Strong analytical thinking skills are necessary to evaluate department workload requirements, staffing needs, problem resolution, and effectively manage resources.
- Knowledge of medical safety practices and requirements to evaluate existing standards and implement new procedures.
- Able to read, understand, and follow oral and written instruction.
Requirements:
If RN, current state RN license preferred, or state LPN license.
Physical Demands:
Standing and walking for extensive periods of time.
Occasional lifting and carrying items up to twenty pounds.
Correctable vision to 20/20 and hearing in a normal range.
Full range of body motion including manual and finger dexterity.
Work Environment:
Sometimes busy, hectic, noisy, and/or stressful with interruptions.
Occasional irregular hours.
Exposure to routine dermatological procedures and diseases.
